Terms of reimbursement  

The event is organised and implemented by Stiftung Schüler Helfen Leben (SHL) on behalf of Solidarity Action Day Movement in Europe ivzw (SAME). SHL wishes to inform you about the terms of reimbursement for travel expenses with regards to the event: 

 

  1. Only travels from your home address to the event location and back will be reimbursed. Detours or prolonged trips will not be reimbursed. Only costs that have not been refunded elsewhere will be reimbursed. 

 

  1. You are obliged to keep the costs as low as possible while booking a feasible option. This includes hand luggage only (exceptions: companies with super small hand luggage, e.g. WizzAir & Ryanair), second/economy class only, no upgrades, no taxi/cab rides. 

 

  1. In case your total travel costs for the event will exceed Euro 250,-, please contact us for final permission before booking. 

 

  1. Avoid air travels. Air travels produce a lot of COwhich is harmful for the climate. Travelling by plane should therefore be avoided whenever possible, especially for short journeys of less than 1,000 kilometers. 
  1. Affordable coach and (night) train connections are suitable alternatives to flights within Europe. If those climate-friendlier travel options are more expensive than flights, but do not exceed Euro 250,- for the entire trip (outbound plus return), these costs will still be reimbursed. 
  1. If flights cannot be avoided, use direct flights whenever possible and avoid multiple stops on your flight. If direct flights are more expensive than other connections, but do not exceed Euro 250,- for the entire trip (outbound plus return), SAME will still reimburse the full costs. 

 

  1. For persons having their permanent residence in Germany: The maximum amount that can be refunded for travelling in Germany is up to Deutsche Bahn 2nd class flexible fare (Flexpreis) with BahnCard 25, irrespective of the chosen mode of transport. 

 

  1. Without originals you cannot be reimbursed. Travel costs will be reimbursed after you have submitted the original receipts, tickets, booking confirmations and boarding passes (!) to SHL (postal, not digital). After your registration, SHL will send you a reimbursement form for this.
